EPIC Special Event Coordinator
The EPIC Special Events Coordinator is a full-time, exempt staff position responsible for planning, implementing, managing and evaluating the annual fundraising initiatives for EPIC including oversight of signature events to ensure quality and financial success. This position will lead the effort to identify, cultivate, solicit and acknowledge donors and sponsors; deepen engagement of current donor, board members, funding partners and the community at large. The EPIC Special Events Coordinator also acts as an ambassador and liaison in the LGBTQ community. Position reports to the Director of Corporate Philanthropy.
Work with the Director of Corporate Philanthropy to manage EPIC special events such as fundraising initiatives, with emphasis on identifying, developing and implementing the special events to meet company objectives.
Work with external community groups on large events that benefit EPIC. (Masquerade and Smart Ride). Attend in person meetings and trainings – travelling where appropriate.
Work with EPIC leadership to develop a plan for fundraising expansion in Pasco, Sarasota and Manatee counties.
Establish an annual plan for special events with approval of Director of Corporate Philanthropy.
Cultivation within the LBGT community to identify prospect for sponsorships, major gifts and planned giving.
Work with Director of Philanthropy and Director of Planned Giving to develop strategy and implement solicitation.
Work with the Foundation, marketing and EPIC staff to develop a targeted direct mail campaign.
Develop and implement procedures and systems for ongoing maintenance, monitoring and evaluation of special events, reporting results and trends to the Director of Corporate Philanthropy.
Recruit, train and place special events volunteers; identify and cultivate volunteers with particular capabilities such as leadership, etc.
Work with each event committee to assure success of event and compliance with special events policy.
Act as volunteer liaison and coordinator during special events; assessing volunteer needs, screening, assigning and supervising volunteer positions.
Coordinate the tracking, training, cultivation of and communication with all special events volunteers.
Compile and report special events volunteer hours in database in a timely manner each month.
Maintain communications with volunteers by coordinating regular meetings as required and utilizing agency publications and websites as well as emails as appropriate.
Participate as an active team member within the Foundation as well as work with other departments as needed Participate in public relations as necessary.
Maintain all necessary records in Raiser’s Edge.
Participate in public relations as necessary and community outreach.
Perform other duties as assigned.
